As the “face” of OzSBI, the Office Administrator is the first point of contact for our business community and their guests. They are part host and part jack of all trades going above and beyond to support and connect our members with the workspace, programs, and resources they need to keep being awesome! They greet people, answer questions, forge connections and are the catalyst that holds our community together.   • Welcome clients, visitors, and partners to the space
  • Answer phones, take messages, and provide general information
  • Assist with new client onboarding, introduction to the community, and educating on internal systems
  • Seek opportunities to engage with members and learn about their business
  • Support OzSBI team in giving tours of the Incubator space when necessary
  • Resolve complaints regarding program, facility, or technology, escalate when necessary
  • Track request for services, answer routine inquiries and process request for information
  • Maintain and enter information into databases
  • Manage calendars and schedule appointments, room rentals, and workshops
  • Participate in the development and maintenance of organizational procedures
  • Prepare routine reports, correspondence, labels, and letters
  • Assist CFO with accounts payable, receivable, and invoicing
  • Coordinate business workshops and events, manage logistics
  • Work with OzSBI team to ensure the timely outcome of projects
  • Maintain facility equipment including computers, phones, printers, Chromebooks, key card system, and AV equipment
  • Serve as primary contact for all building maintenance, janitorial, and security team communication 
  • Conduct opening and closing duties
  • Responsible for the overall appearance of space including common areas, kitchens, and conference rooms
  • Collect, organize, and distribute mail


  • Occasionally conduct setup and teardown for events including furniture, catering, coffee, signage, presentations, and other assigned tasks
  • Provide support as necessary during events and program activities

Other Possible Duties

  • Website content management 
  • Implementation of social media campaigns
  • Creation of flyers, newsletter, and press releases
  • Manage distribution of content


This position is 40 hours per week.  Occasional evenings and weekends may be required.
